We collect information you provide directly when you register, use, or contact us about our services:

  • Account Information: Company name, admin name, email address, phone number, and password.
  • Employee Data: Names, contact details, employment records, attendance, leave, payroll, and performance data uploaded by your organisation.
  • Usage Data: Log files, IP addresses, browser type, pages visited, and features used within the platform.
  • Payment Information: Billing address and transaction details processed via Razorpay (we do not store card numbers).

2. How We Use Your Information

  • To provide, operate, and maintain the Zenforce HRMS platform.
  • To process payroll, attendance, leave, and HR operations on your behalf.
  • To send important service notifications, billing alerts, and security updates.
  • To improve platform features based on usage patterns.
  • To comply with legal obligations under Indian law (IT Act, GST, labour laws).

3. Data Storage & Security

All data is stored on servers located in India. We implement industry-standard security measures including AES-256 encryption at rest, TLS 1.3 in transit, role-based access control, and regular security audits. Access to your HR data is restricted to authorised personnel within your organisation.

4. Data Sharing

We do not sell, rent, or share your data with third parties except:

  • Payment processors (Razorpay) for subscription billing.
  • Email service providers for transactional notifications.
  • Government authorities when required by law.

5. Data Retention

We retain your data for as long as your account is active. Upon cancellation, data is retained for 90 days to allow export, after which it is permanently deleted from our systems.

6. Your Rights

  • Access and download all your organisation's data at any time.
  • Request correction of inaccurate information.
  • Request deletion of your account and associated data.
  • Opt out of marketing communications.
